Do you keep customer names and email addresses? Do you hold staff records or client files? If so, your business handles personal data, and data protection law applies to you.

Many small business owners are not sure what that means day to day. The good news is that the UK’s data protection regulator can now help. The Information Commissioner’s Office (ICO) has launched free training for businesses like yours.

What Is Data Protection Essentials?

Data Protection Essentials is a free online training and self-assessment programme. The ICO created it for small and medium-sized organisations, their staff and sole traders. It launched in August 2026.

The training comes in bite-sized modules. You work at your own pace, so it fits around your working day. You do not need any previous data protection experience.

Who Is It For?

The programme is designed for organisations that:

  • have fewer than 250 employees
  • do not have a Data Protection Officer
  • are not carrying out high-risk data processing

It is covered by the data protection fee that most organisations pay to the ICO, and it is also available to organisations that are exempt from paying the fee.

What Does It Cover?

The training uses practical, real-world examples to explain how data protection applies to everyday tasks, including:

  • sharing information with others
  • keeping records secure
  • marketing and staying in touch with customers
  • reducing the risk of a data breach

There are also examples for specific sectors, including retail, property, professional services, health and social care, and education and childcare.

What Do You Get at the End?

Each person who completes the training receives a digital certificate. Your business can then complete a short self-assessment, with tailored advice, to earn a certificate for the organisation and the option of being listed on the ICO’s public Data Protection Essentials register. Certificates are renewed each year to stay valid.

Note: Data Protection Essentials is not an accredited certification scheme. It is a practical training programme to help you understand and apply the basics.

Why It Is Worth Your Time

Even a small business can hold sensitive information, such as staff bank details and National Insurance numbers on the payroll, or customer contact details in your accounting software. Knowing how to store and share this safely helps you avoid mistakes, and a certificate is an easy way to show customers that you take their information seriously.

For the most current information, always check the official ICO guidance on Data Protection Essentials.
